Privacy Policy Last updated September 16, 2026 Affinity Esports Group, LLC and its studio entities, Affinity Esports, LLC (Newtown) and Affinity Esports Milford, LLC (Milford), together "Affinity Esports," "we," or "us," operate affinityesports.gg and the programs, studios, and events described on it. This policy explains what information we collect, how we use it, and the choices you have. It applies to our website, our booking pages on Acuity Scheduling, our participant waiver, our email and text messages, and our in-studio and mobile programs. What we collect When you register a child for a program, book a party or a studio session, complete our participant waiver, join our mailing list, or contact us, we collect the information you give us: the parent or guardian's name, email address, phone number, and billing address; the participant's name, age or date of birth, and any medical, allergy, or accommodation information you choose to share so we can supervise safely; emergency contact and authorized pickup information; and your answers to the questions on the form. Payments are processed by Acuity Scheduling and Square; we do not store full card numbers. Our website uses the standard analytics built into Squarespace, which records pages visited and general device information. How we use it We use this information to run the programs you registered for: confirming bookings, communicating schedules and changes, supervising participants safely, contacting you in an emergency, and billing. If you opt in, we also use your email address and phone number to tell you about our programs, seasons, events, and offers. We use analytics to understand how the website is used. We do not sell personal information, and we do not use participant information for advertising. Email communications You may opt in to our email list on a booking form, the participant waiver, or the website. Every marketing email includes an unsubscribe link, and you can also reply to any email or write to hello@affinityesports.gg to be removed. Program emails about something you have booked (confirmations, schedule changes, closures) are sent to everyone with a booking regardless of marketing preference, because they are part of delivering the program. Text messages (SMS) You may opt in to text messages from Affinity Esports by checking the text-message consent box on a booking form or the participant waiver, or by texting AFFINITY to our number. By opting in you agree to receive recurring automated text messages from Affinity Esports at the number you provided, including program announcements, open house and registration reminders, game night and event details, schedule changes, and weather closures. Consent is not a condition of purchase or of registering for any program. Message frequency varies, typically two to four messages per month. Message and data rates may apply. Reply STOP to cancel at any time; you will receive one final message confirming you have been unsubscribed. Reply HELP for help, or contact us at hello@affinityesports.gg or (203) 290-1656. Carriers are not liable for delayed or undelivered messages. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes; the consent you give for text messages is not shared with anyone. All other categories of information described in this policy exclude text messaging originator opt-in data and consent, which are used only to send you the messages you opted in to. Who we share information with We share information only with the service providers that run our operations on our behalf: Acuity Scheduling (bookings and intake forms), Square (payments and invoicing), Google Workspace (email, forms, and file storage), Squarespace (website, email, and text campaigns), and Discord (our community server, for participants 13 and older or parent-managed accounts). Each of them uses the information only to provide their service to us. When a program is delivered in partnership with a school, town recreation department, or community organization, we share the participant information that partner needs to run the program, such as a roster and emergency contacts, and nothing more. We share information with authorities when the law requires it or to protect a participant's safety. Children Our programs are for participants ages 7 and up. We collect participant information from parents and guardians, not from children. Our Discord server is for participants 13 and older, or younger participants on an account managed by a parent. We do not knowingly collect personal information directly from a child under 13 online; if you believe a child has provided information to us directly, write to hello@affinityesports.gg and we will remove it. Photos and video We photograph and record programs and events for our own promotion. Our participant waiver asks for your consent to this, and you can decline there or at any time by writing to hello@affinityesports.gg. We never publish a participant's full name with an image without separate permission. Your choices You can unsubscribe from email using the link in any message, stop text messages by replying STOP, update your contact information by writing to us, and ask us what information we hold about your family or ask us to delete it by writing to hello@affinityesports.gg. We keep registration and waiver records for as long as we need them to run programs and meet our legal and insurance obligations, then delete them. Security We limit access to family information to the staff who need it to run your child's program, and we store it in the systems named above rather than on personal devices. No system is perfectly secure, and we will tell you promptly if we learn of a breach affecting your information.
